Job Description

Reports to: Spa Manager

The bodhi spa is a premiere hydrotherapy day spa where people can come and communally “take the water”. The first of its kind in New England, the bodhi spa is a highly sought-after destination for the ultimate spa experience. Our vision is to share the bodhi spa’s successes with our team by providing a growing, inspiring and uplifting work environment.

The Assistant Manager (AM) at the bodhi spa, will be composed, honest, reliable, and professionally presented while on duty, with the ability to be ‘hands on’ at all times to support the daily operations of the spa. They will be required to uphold all protocols and procedures as set forth by owners/managers. They will excel in leadership and teamwork, while embodying the values and standards of the bodhi spa. The AM will act as a liaison between the spa and our guests, addressing consumer concerns and harvesting valuable feedback to improve processes and procedures.

Skills Requirements:

- Excellent Communication: Continuously collaborates with team members to make sure guests are well cared for and spa runs smoothly.

- Customer Service: Must have excellent customer service skills. Using terms such as “it’s my pleasure” as opposed to “no worries” or “no problem”.

- Detail Oriented: Pays close attention to all the little details.

- Social: Happiest working on teams or with other people.

- Level Headed: Holds emotions in check, even in tough situations.

- Professional: Presents a professional appearance and demeanor. Maintains a positive attitude at all times. Uniform is pressed and hair and make-up on neat and modest.

- Multi-tasking: Possesses an aptitude to calmly multitask while remaining focused on the goals and objectives, such as guest safety and satisfaction, and 5-star customer service across all departments.

Uniform Requirements:

While serving in Assistant Manager role, dress code is business casual. However, when stepping into shift work, the AM must adhere to the dress code below:

- Must provide your own soft sole, non-marking, non-slip shoes, for indoor use only.

- Must provide your own black colored pants

- The bodhi spa provides smock/polo shirt

- Uniforms must not be worn offsite.

- Upon separation of employment, the uniform must be returned to receive final check.

Assistant Manager Job Expectations:

- Uphold the bodhi spa Quality Experience: embody the philosophy of the brand, mission, vision, and values with a commitment to delivering a quality, consistent experience for all Guests and Team Members.

- In the absence of the General Manager and as a supportive role, ensure the spa is running at optimal functionality at all times. There may be occasions when it is necessary to help staff with various duties such as water management, laundry, and concierge duties.

- Communicate and document effectively to General Manager all occurrences involving Team Members or Guests in the spa that require attention.

Assistant Manager (AM) Job Description of duties:

- Communicate with General Manager and Maintenance Manager about any repairs and/or maintenance issues that arise in a timely, organized manner. Follow up to ensure these issues are resolved.

- Manage and coordinate inventory in the spa including but not limited to back bar, retail products, amenity, and refill stations. Report to management on areas for reducing waste, shrinkage and cost where possible without compromising on safety and standards.

- Ensure cleanliness of the spa. All glass and doors should be free of handprints, waste receptacles empty, front walkway swept, and front desk clear of clutter, food and cell phones. Supervise treatment room cleanliness throughout the day. Delegate tasks as appropriate.

- Responsible for creating and maintaining spa vibe throughout the day by making sure the standards for 5-star spa service are being met continuously.

- The AM will play a strong supportive role in Recruitment, Training, Evaluation and Supervision of Team Members (employees and contract workers): ensure adequate hiring of staffing levels to accommodate demand. Train and document training for all new and existing Team Members.

- Be proficient in submitting payroll for both Front Of The House and Contract Staff. Review timesheets for accuracy prior to submitting payroll biweekly.

- Check in with service providers, ensuring they’re using end of shift form throughout the day. Make sure the flow of appointments is seamless for providers and guests.

- Must be physically onsite for a minimum of 40hrs/week.

- You will be the point of contact in the absence of the GM. You will be the first point of contact for all staff on these days, responsible for assisting with staff call-outs and any guest concerns while supervising Team Members on site. Responsible for ensuring the spa is opened and closed on time and in a clean consistent manner per the bodhi spa opening and closing procedures. Be proficient in resolving issues related to balancing cash out at the end of shifts etc.

- Helps with the creation and execution of promotional campaigns, specials, customer recognition, and rewards. Keeps staff informed of promotional events & price updates.

- Monitors customer feedback via social media and Booker surveys no less than once per week. Assists the General Manager in personally responding to guest feedback and resolving any conflict. Shares guests’ positive reviews as well as guests’ critical feedback with team .

- Assists in answering client emails, phones calls and Bowties (AI Communications). Will be proficient in handling Group and private bookings, managing guests’ special requests and any additional administrative duties that the General Manager assigns.

- Responsible for preparing and managing off-site donations requests and fulfillment of requests.

- Other duties and responsibilities may be assigned to you from time to time.

Job Type: Full-time

Pay: $45,000.00 per year
