As an office coordinator of Peak Image Med Spa, you will perform routine administrative and facility tasks designed to keep our staff and office running smoothly. You will assist with the following duties according to the standards and practices of the med spa. Experience in retail sales or a medical spa, day spa, salon, dermatology, or plastic surgery setting is a plus. Customer service representatives and retail sales specialists are encouraged to apply. We are willing to provide training for the right candidate.

Responsibilities

  • Open and prepare the office daily to ensure a welcoming and exceptional patient experience.
  • Proficient in email communication and customer relationship management (CRM) software.
  • Monitor and manage office supply inventory, placing orders as needed.
  • Contact patients to request reviews and feedback.
  • Process patient checkouts following treatment, including collecting deposits.
  • Assist patients in enrolling in manufacturer loyalty programs such as Aspire and Alle.
  • Maintain and coordinate the office schedule efficiently.
  • Answer phone calls, schedule patient appointments, and manage confirmations, outreach, and follow-ups.
  • Maintain comprehensive knowledge of office policies, procedures, treatments, packages, pricing, required documentation, and promotional offers.
  • Respond to email inquiries promptly and professionally.
  • Ensure treatment rooms remain stocked with necessary supplies.
  • Perform miscellaneous administrative duties as assigned.
  • Proactively promote and sell products and services through in-depth knowledge and professional presentation.
  • Assist patients with financial options, including loyalty memberships, reward balances, and available funds.
  • Actively participate in office meetings and team discussions.
  • Conduct post-treatment follow-ups with clients.
  • Support social media and marketing efforts as needed.
  • Provide administrative assistance to managers and owners.

  • Ability to efficiently prioritize multiple clients.
  • Quick learner with a desire for professional growth and the ability to rapidly acquire knowledge of Peak Image procedures to effectively address patient inquiries.
  • Highly detail-oriented with a commitment to accuracy and organization.
  • Warm, professional demeanor when greeting and interacting with patients.
  • Strict adherence to all confidentiality laws and privacy regulations.
  • Reliable, trustworthy, and enthusiastic with a consistently positive attitude.
  • Self-motivated with the ability to work independently and collaboratively within a team environment.
  • Excellent time management skills with a track record of consistent attendance and punctuality.
  • Proficiency in basic mathematical functions, including addition, subtraction, multiplication, and division.
  • Comfortable with video recording and photography for social media content creation.
  • Flexible availability, including the ability to work on Saturdays.
  • Technologically proficient, with the ability to navigate computer systems, email, and software applications efficiently.

Requirements

  • Experience working with and knowledge of cosmetic procedures and skincare products is a plus
  • Sales experience is a plus
  • Computer skills (required)
  • Customer service experience (required)

Schedule

  • 8 hour shift
  • 4-5 days a week (Would prefer someone available for Mondays, Tuesdays, Wednesdays, Thursdays, and Saturdays)

Supplemental Pay

Commission pay. Bonus pay.
