Practice Manager at Luxury Boutique Plastic Surgery & MedSpa
Job Description
Are you a proactive self-starter? Are you organized, detail oriented, and good with people? Are you a proven leader in the beauty, medspa, or plastic surgery industry? If so, we would love to hear from you!Luxury boutique plastic surgery & medspa office is seeking a Practice Manager to join our team. You should possess outstanding communication skills and the ability to manage multiple simultaneous projects.
Duties and Responsibilities
- Accounting and finances, including revenue and expense management
- Setting annual budgets
- Setting monthly and quarterly performance goals
- Analyze monthly and quarterly key performance indicators
- Design and implement office policies and standard operating procedures
- Manage office workflow and patient flow
- Assist with inventory management and reconciliations
- Manage the day to day operations of the office from open to close
- Proactive focus on continuous improvement
- Manage staff work schedules, PTO, vacations, and payroll
- Recruit, interview, and onboard all new employees
- Lead daily huddles and weekly/monthly meetings
- Supervise and manage all staff members
- Conduct performance reviews of all staff members
- Create documents, briefings, reports, and presentations as directed
- Manage operating room accreditation, staff licensure, and all necessary compliance with local, state, and federal regulations
- Assist with marketing campaigns, social media efforts, and design projects
- Discuss cosmetic consultations, cosmetic procedures, medspa services, and VIP memberships with prospective patients over the phone, via email, through text, and in-person
- Prequalify prospective patients and schedule cosmetic and medspa consultations
- Meet with patients at time of consultation to discuss surgical & medspa procedures, review post-operative expectations, show before and after photos, answer questions, alleviate concerns, develop quotes, and discuss fees and financial policies
- Schedule all aspects of surgeries - coordinate pre-op, post-op, facility, anesthesia, staffing, and other requirements
- Touch base with patients after surgery over the phone, via email, and in-person
- Discuss and educate patients on our medspa offerings
- Cover front desk, patient care coordinator, and back office duties as needed
- Perform additional responsibilities as they arise and upon request
Job Requirements
- Must have at least 5 years of experience in the medspa, plastic surgery, dermatology, medical private practice, high end retail, or luxury hospitality industry. Ideally must have experience in a leadership or management role
- Must have a positive upbeat attitude
- Must possess excellent people skills
- Must have outstanding communication skills, both written and verbal
- Skilled use of smartphone, software, and internet technology
- Skilled at Microsoft Office Suite including Word, Excel, and PowerPoint
- Must be highly perceptive, observant, and considerate while being able to anticipate the needs of the business
- Detail oriented with meticulous organization, task management, and communication skills
- Self-motivated and able to work independently
- Must sign a non-disclosure agreement and pass background/credit checks prior to commencement
- Bachelor's degree from a 4-year College or University is required
This position will require long shifts from open until close, some evenings, and some weekends depending on business needs.
